Your resident portal provides a way to assess and document the condition of your room through a Room Condition Report (RCR). Completing this report ensures accurate records for your housing department and helps document the state of your room at the start and end of your stay.
Note: The ability to complete a Room Condition Report may not be enabled by your institution. If you do not see this option in your portal, check with your housing office for further instructions.
Access the Room Condition Report
Log in to the resident portal and select Residency from the navigation bar.

Click Room Condition Report to view any pending or completed reports associated with your assignment.

Click on your room name to open your report.

Asses the Room Inventory
The RCR displays details about your room, including a list of inventory items that require assessment. The items listed will vary based on your specific room, available amenities, and your institution’s configuration.

To assess each item, review its condition carefully and choose the appropriate rating from the following options.
- New: Appears to be in brand-new condition.
- Good: Shows minor signs of use but is in good condition.
- Fair: Has noticeable wear and tear.
- Poor: Significant damage or deterioration.
- Unusable: Item cannot be used in its current condition.
- Absent: The item is missing from the room.
- N/A: The item does not require assessment.
Add Notes and Images
Use the Notes box to provide details about any issues or observations related to an item.
Click the + button to upload an image of the item. Images help provide additional documentation of the condition. If needed, remove an uploaded image by clicking the X on the image preview.

Submit and Review Reports
Once all items have been rated, click Submit to finalize your report. You will not be able to change the assessment after submission.

Submitted reports move to the Completed section and remain locked for reference.
Completed reports cannot be edited. The conditions and text will remain locked, and no further changes can be made.
