The staff visitor search system helps front desk personnel and operations teams find specific visitor invitations, view currently checked-in guests, review upcoming arrivals, and export data for shift reports. This centralized tool supports daily operations and provides quick access to visitor information without needing QR codes.
Use visitor search when guests arrive without their QR code, when verifying who is currently in the building, or when preparing for expected arrivals during your shift.
You need the viewGuestManagement or checkInGuests permission to access visitor records. Navigate to /staff/visitors to begin searching.
Accessing the Visitor List
Navigate to /staff/visitors in your operations or staff portal. The main visitor page displays a searchable list of all visitor invitations relevant to your building or area.
The list shows visitor names, host resident names, scheduled dates, and current status. The layout may be a grid, table, or card view depending on your institution's portal design.
Viewing Currently Checked-In Guests
The most useful view during a shift is the currently checked-in list, which shows everyone who is on campus right now.
Look for a filter, toggle, or separate page labeled Checked-In, Currently On Campus, or Active Visitors. Click this to display only guests who have checked in but not yet checked out.
This list updates in real time as staff perform check-ins and check-outs. It serves as a live occupancy report showing how many guests are in the building.
Using the Checked-In List
During emergencies, use this list to account for visitors who may need evacuation assistance or notification.
At shift changes, review the list with incoming staff to brief them on current occupancy.
When building capacity reaches limits during busy periods, monitor the checked-in count to know when to implement waitlists or notify residents.
Viewing Upcoming Arrivals
The upcoming arrivals view shows invitations for visitors scheduled to arrive soon. This helps you prepare for busy periods and know who to expect.
Filter or navigate to Upcoming, Today's Arrivals, or Expected Visitors to see invitations with arrival times in the near future.
Some systems allow you to set a time window, such as showing all arrivals in the next 4 hours or all arrivals today.
Shift Planning
At the start of your shift, check upcoming arrivals to estimate how busy check-in will be. If you see 20 visitors arriving between 5 PM and 7 PM, prepare for a rush.
Note any special instructions on upcoming invitations that may require extra attention, like accessibility needs or group arrivals.
Searching for Specific Visitors
Use the search box at the top of the visitor list to find specific invitations quickly.
The search function looks across multiple fields including visitor name, host resident name, email address, and phone number.
Search by Visitor Name
Type the guest's first or last name and press Enter. Results show all invitations for people with matching names.
If multiple results appear, check the dates and host names to identify the correct invitation.
Search by Host Name
Type the resident's name who created the invitation. This is useful when a resident calls asking about their guest's status and you need to look up their invitation.
Results show all invitations created by that resident, including past and upcoming visits.
Search by Contact Information
Type an email address or phone number to find invitations associated with that contact information. This helps when a visitor calls asking about their invitation but you don't have their name.
Partial Search
You don't need to type complete names. Entering "John" finds all visitors and hosts with John in their name, such as John Smith, Johnny Anderson, or residents named Johnson.
Filtering Visitor Records
Apply filters to narrow the visitor list to specific subsets without searching for individual names.
Filter by Status
Filter to show only invitations with a specific status: Invited, Checked-In, Checked-Out, Canceled, or Banned.
Use status filters to answer questions like "How many guests are checked in right now?" (filter to Checked-In) or "How many invitations were canceled this week?" (filter to Canceled plus a date range).
Filter by Date
Apply date filters to show only invitations within a specific time period. Select today to see today's visitors, this week for weekly reporting, or custom date ranges for specific periods.
Date filters typically apply to the scheduled arrival date, though some systems let you choose whether to filter by arrival, departure, or check-in date.
Filter by Building or Floor
If you work in a specific building or area, filter to show only visitors coming to your location. This hides visitors from other buildings that aren't relevant to your shift.
Building filters may be automatic based on your staff assignment, or you may need to select the building manually.
Combining Filters
Stack multiple filters together for precise results. For example, filter to Checked-In status plus your building to see exactly who is in your building right now.
Filter to today's date plus Invited status to see who is scheduled to arrive today but hasn't checked in yet.
Viewing Invitation Details
Click any invitation in the list to open its full detail page. This page shows complete information about the visitor and visit.
What Details Appear
The detail page typically includes:
Visitor's full name, email, phone number, and date of birth
Host resident's name and room location
Scheduled arrival and departure dates and times
Actual check-in and check-out timestamps if the visit occurred
Current status with a status badge
Special instructions entered by the host
Form responses from invitation and check-in forms
History of status changes and actions taken
Using Detail Pages
Open detail pages to verify information when checking in guests without QR codes.
Review special instructions before a visitor arrives to prepare for any special needs.
Check form responses to see answers to questions about parking, dietary restrictions, or emergency contacts.
Verify check-in and check-out times when investigating visitor issues or compiling shift reports.
Checking In from Search Results
If a visitor arrives without their QR code, search for their invitation and check them in directly from the detail page.
Search by the visitor's name, locate their invitation, and click to open details. Verify their photo ID matches the name on the invitation.
Complete any required check-in forms on the detail page. Click the Check In button to finalize check-in without scanning a QR code.
This manual check-in process produces the same result as scanning the QR code—it's just an alternate way to access the invitation.
Exporting Visitor Data
Export the visitor list to CSV for shift reports, occupancy logs, or compliance documentation.
Apply any filters to narrow the data to what you need to export. For example, filter to today's date and Checked-In status to export a list of current guests.
Look for an Export button, download icon, or menu option near the top of the visitor list. Click it and select CSV Export or similar.
The exported file downloads to your device. Open it in Excel, Google Sheets, or another spreadsheet program to review or format for reports.
What Exports Include
Exports typically contain columns for visitor name, host name, contact information, scheduled and actual check-in/check-out times, status, building, and any custom form responses.
Use exported data for shift handoff reports, weekly occupancy summaries, or incident documentation.
Handling Common Scenarios
Visitor Calls Asking If Their Invitation Is Valid
Search for the visitor by name or email. Open their invitation detail and verify the status shows Invited and the dates match when they plan to arrive. Confirm that their invitation is active and ready for check-in.
Resident Asks If Their Guest Checked In Yet
Search by the resident's name to find their invitations. Look at the status—if it shows Checked-In, the guest arrived. Tell the resident the check-in time. If status is still Invited, the guest hasn't arrived yet.
Security Asks How Many Guests Are in the Building
Filter to Checked-In status and your building. Count the results or export the list to get an exact count. Provide the number and offer to share the exported list if needed for security purposes.
Visitor Lost Their QR Code and Wants to Be Checked In
Search for their invitation by their name. Open the detail page, verify their ID, complete forms, and click Check In. They don't need the QR code if you can find their record manually.
Multiple Invitations Appear for the Same Person
Check the dates and status of each invitation. Past visits show Checked-Out status. Canceled visits show Canceled. Find the active invitation with Invited status and dates matching the current visit.
Troubleshooting Search Issues
Search Returns No Results
Verify spelling of the name you entered. Try searching by the host's name instead of the visitor's name, or vice versa.
Check if filters are applied that might be hiding the invitation. Clear all filters and search again.
The invitation may not exist if the resident never created it or if it was deleted.
Too Many Results Appear
Add more filters to narrow results. Apply date filters to show only current invitations, or filter by status to exclude past or canceled visits.
Search with a more complete name or add contact information to refine results.
Information Seems Outdated
Refresh the page to load the latest data. Visitor lists update in real time, but browser caching sometimes shows old information.
Cannot Open Detail Page
Verify you have the appropriate permission to view visitor details. Some staff roles can see the list but not detailed information.
If the invitation was deleted by an administrator, you may see it in search results but cannot open it. Contact your supervisor if you need access to deleted records.
Privacy and Security
Visitor records contain personally identifiable information including names, contact details, and dates of birth. Handle this information according to your institution's privacy policies.
Do not share visitor information with unauthorized individuals. Only provide details to the host resident, authorized staff, or security personnel with legitimate need.
Do not leave visitor lists visible on front desk screens where visitors or passersby can see other people's information. Log out or minimize the page when not actively using it.
