You need the checkInGuests permission to check out visitors. The same permission that allows check-in also enables check-out.
When to Check Out Visitors
Check out visitors when they leave the building at the end of their visit. This typically happens when the guest returns to the front desk to sign out before departing campus.
Some institutions require all visitors to check out manually at the front desk. Others use automatic check-out at the scheduled departure time and only perform manual check-out if guests leave early.
Verify your institution's check-out policy. If automatic check-out is enabled, you may only need to manually check out visitors who are leaving before their scheduled time.
Automatic Check-Out
If your housing office enabled the automatic check-out setting, the system changes a visitor's status from Checked-In to Checked-Out automatically at their scheduled departure time.
This happens without any action from front desk staff. At the exact time listed as the departure on the invitation, the system runs a process that checks out all guests whose visits are ending.
Automatic check-out keeps visitor lists accurate even if guests leave when the front desk is unstaffed or forget to check out manually.
When Automatic Happens
If automatic check-out is enabled and a visitor's scheduled departure time is 2:00 PM Sunday, the system automatically checks them out at 2:00 PM Sunday. The status changes and a check-out timestamp is recorded.
Even with automatic check-out enabled, staff can still manually check out guests early if they leave before their scheduled time.
Checking Your Institution's Setting
Ask your supervisor or housing administrator whether automatic check-out is enabled. This determines whether you need to actively check out every visitor or only handle early departures.
Manual Check-Out Process
When a visitor approaches the front desk to check out, begin the check-out process.
Ask the visitor to show their QR code again, either on their phone or printed. The same QR code used for check-in also works for check-out.
Scan the QR code using the same scanner tool you use for check-in. The invitation details load on your screen.
Reviewing the Check-Out Screen
After scanning, the invitation details page appears showing the visitor's information and current status. The status should show Checked-In if they haven't been checked out yet.
Verify the visitor's name matches the invitation to ensure you're checking out the right person.
Look for a Check Out button on the screen. Click this button to complete the check-out process.
Confirming Check-Out
After clicking Check Out, the system updates the invitation status from Checked-In to Checked-Out immediately.
A check-out timestamp records the exact time the check-out was completed. This timestamp appears in the invitation history and reports.
The visitor disappears from the currently checked-in list and moves to the checked-out or past visitors list.
Inform the visitor that their check-out is complete and they're all set to leave campus. Thank them for visiting and wish them safe travels.
Checking Out Without a QR Code
If a visitor wants to check out but doesn't have their QR code available, you can complete check-out manually by searching for their record.
Navigate to /staff/visitors or the currently checked-in list. Search for the visitor by their name or their host's name.
Locate their invitation in the results. Click it to open the details page.
Click the Check Out button to finalize check-out without scanning a QR code.
Early Check-Out
If a visitor leaves before their scheduled departure time, perform a manual check-out even if automatic check-out is enabled.
Scan their QR code or search for their record and click Check Out. The system records the actual check-out time, which will be earlier than the scheduled departure.
This ensures the visitor list stays current and doesn't show guests as checked-in when they've already left.
Why Early Check-Out Matters
Accurate check-out times improve occupancy tracking and emergency response. If an emergency occurs, staff need to know who is actually in the building, not who was scheduled to be there.
Early check-out also helps with capacity management during busy periods. Knowing when guests leave early allows staff to plan for new arrivals.
Late Check-Out
If a visitor is still on campus past their scheduled departure time, their status depends on your institution's automatic check-out setting.
If automatic check-out is enabled, the system already changed their status to Checked-Out at the scheduled time, even though they're physically still there. When they come to check out, their status shows Checked-Out and you don't need to do anything.
If automatic check-out is disabled, the visitor's status remains Checked-In until you manually check them out. Complete check-out as normal when they arrive at the desk, regardless of how late they are.
Addressing Overstays
If a visitor significantly overstays their scheduled time, document the situation in notes or notify your supervisor. Repeated overstays may require communication with the host resident about adhering to scheduled visit times.
Checking Out Groups
If a resident invited multiple people on one invitation, each visitor can check out individually or together depending on when they leave.
If the group leaves together, scan one QR code to open the invitation, then check out all visitors at once if your system supports bulk check-out.
If visitors leave at different times, check out each person separately as they depart. The invitation remains active until everyone is checked out or the scheduled departure time passes.
Monitoring Checked-In Visitors
Use the checked-in visitor list to monitor who is currently on campus. Navigate to /staff/visitors/checked-in or a similar path.
This list shows all guests who have checked in but not yet checked out. It updates in real time as check-ins and check-outs occur.
End-of-Shift Review
At the end of your shift, review the checked-in list to see who remains on campus. Compare this list to scheduled departure times to identify any visitors who should have left but haven't.
Pass this information to the next shift or your supervisor for follow-up if needed.
Troubleshooting Check-Out Issues
Visitor Already Shows Checked-Out
If the QR code scan shows the visitor is already checked-out, automatic check-out may have run at their scheduled time. Inform the visitor that they're already checked out in the system and they're free to leave.
Alternatively, another staff member may have already checked them out. Verify the check-out timestamp to see when it occurred.
Check-Out Button Is Missing or Disabled
If the invitation was canceled or the visitor was never checked in, you cannot check them out. Verify the current status on the details page.
Only invitations with Checked-In status can be checked out. If the status shows Invited, the visitor was never checked in and doesn't need check-out.
Wrong Person Asking to Check Out
If the person at the front desk doesn't match the name on the scanned invitation, do not complete check-out. Ask for clarification about which visitor is leaving.
Search for the correct visitor's invitation and check them out instead.
Visitor Says They Didn't Check In
If a visitor claims they never checked in but their status shows Checked-In, review the check-in timestamp. Either they forgot they checked in earlier, or someone checked them in by mistake.
Proceed with check-out if they're leaving regardless. Document the discrepancy in notes if appropriate.
Visitor Forgot to Check Out
Sometimes visitors leave campus without checking out at the front desk. If you discover this later, you can check them out retroactively.
Search for the visitor's record in the checked-in list. Click their invitation and complete check-out manually.
The check-out timestamp will reflect when you performed the check-out action, not when they actually left. Add a note if the actual departure time is important to document.
Emergency Evacuations
During building emergencies that require evacuation, you may not have time to check out each visitor individually.
After the emergency concludes, work with your supervisor to determine which visitors left and manually check them out in the system.
If automatic check-out is enabled, visitors will be checked out at their scheduled times even if the emergency occurred earlier.
Reporting and Record-Keeping
Check-out data contributes to visitor reports and occupancy tracking. Each check-out creates a permanent record showing when the visit ended.
Reports include actual check-in and check-out times, which may differ from scheduled times. This data helps housing administrators analyze visitor patterns and policy compliance.
Completed visits with both check-in and check-out times appear in the past or checked-out visitor lists. They remain searchable for historical reference.
Best Practices
Encourage visitors to check out even if automatic check-out is enabled. Manual check-out provides more accurate departure times for reporting.
Keep the QR scanner accessible at the front desk so visitors can easily check out without waiting in line.
If you notice the same residents repeatedly having visitors who don't check out, mention it to your supervisor. This may indicate a need for resident education about check-out procedures.
Periodically clear the checked-in list of visitors who overstayed significantly. This keeps the list useful for emergency response.
