Overview
Product Learning Session 2 (PLS-2) focuses on managing the core housing data that drives your operations: student profiles, applications, residents, inventory, and tags. This session teaches you the operational skills needed to work with student data, manage applications and assignments, organize inventory, and use tags effectively.
Who this is for: All admin users—housing directors, residence life staff, operations teams, and anyone who will manage student and housing data in the system.
What you'll learn: How to add and edit profiles, understand application and resident lifecycles, manage inventory operationally, and use tags to organize and automate your workflows.
Duration: 75 minutes (5 modules of 10-15 minutes each)
Session Modules
PLS-2 is broken into five focused modules. Each module builds operational skills for managing your housing data.
PLS-2A: Working with Profiles
Learn how to add, edit, search, filter, and export student profiles. Master bulk operations, custom views, and profile tagging to efficiently manage your student database.
Key concepts: Adding profiles, editing custom fields, filtering and saved views, bulk operations, profile exports, merging duplicates
PLS-2B: Understanding Applications
Understand what applications are, how they fit in the housing lifecycle, and what information they contain. Learn to view and filter applications, understand application statuses, and navigate application details.
Key concepts: Application lifecycle, application statuses (Submitted, Under Review, Approved, Denied), viewing application responses, filtering by cycle and status
PLS-2C: Understanding Residents
Understand what residents are, how students become residents, and what data is tracked throughout the residency lifecycle. Learn to view resident details, understand residency statuses, and track the student journey from applicant to resident.
Key concepts: Resident lifecycle, residency statuses (Assigned, Checked In, Checked Out, Cancelled), viewing assignments and roommates, tracking residency history
PLS-2D: Managing Inventory
Learn operational inventory management tasks: blocking and unblocking rooms, updating bed statuses, managing furniture, and performing bulk inventory updates. Understand inventory statuses and how they affect availability.
Key concepts: Inventory statuses (In Service, Blocked, Out of Service, Assigned, Occupied), blocking rooms, bulk status updates, furniture propagation, key management
PLS-2E: Introduction to Tags
Understand what tags are, how they organize and automate workflows, and how to view and filter by tags. Learn tag visibility (public vs private) and how tags connect profiles, applications, inventory, and automation rules.
Key concepts: Tag categories, tag types (profile, application, inventory), public vs private tags, filtering by tags, tag-based automation
Learning Path
We recommend completing the modules in order:
PLS-2A: Working with Profiles
PLS-2B: Understanding Applications
PLS-2C: Understanding Residents
PLS-2D: Managing Inventory
PLS-2E: Introduction to Tags
Each module takes 10-15 minutes to complete. You can complete them all in one 75-minute session or spread them across multiple sessions.
